Data Support and Monitoring

The Data Support & Monitoring team is part of the Data Management function in PHI/ISD. The team provides a data support and monitoring service to NHS Boards and other health care data providers in the submission of national data sets. The team also works with system suppliers to facilitate the collection of these data sets and provides an advisory service to data users, in particular to PHI/ISD analytical service teams.

The team provides this service for the following national datasets:

  • A/E data from emergency departments and minor injuries units - monthly aggregate and patient level data
  • A/E waiting times data from emergency departments - weekly aggregate level data
  • SMR00 - Outpatient data
  • SMR01 - Acute inpatient and day case data (including geriatric long stay data SMR01_1E)
  • SMR02 - Maternity inpatient and day case data
  • SMR04 - Mental Health inpatient and day case data
  • ISD(s)1 - Summary statistics of resources and activity in hospitals and other care settings
  • Child Health data for preschool, school and immunisations
  • System Watch - weekly data from NHS Boards, Health Protection Scotland (HPS), Scottish Ambulance Service (SAS), NHS 24 and National Records of Scotland (NRS)
  • Waiting Times data including - 18 Weeks Referral to Treatment, Audiology, Diagnostics, Stage of Treatment (New Outpatients and Inpatients & Day Cases), Cancer (Monthly & Quarterly)

Services provided for these data sets:

  • Process weekly, monthly, quarterly and annual data submissions
  • Provide helpdesk support to NHS Boards and other data providers who experience problems submitting data
  • Monitoring data submissions in terms of completeness and timeliness
  • Liaise with data providers to ensure data is validated against national standards and where appropriate highlight any issues and ensure they are resolved
  • Investigate any data quality issues highlighted and work with data providers and system suppliers as required to resolve them
  • Ensure that all amendments required to resolve data quality issues are applied either by the data providers themselves or by ISD on their behalf
  • Advise data users of any data quality/completeness issues impacting on the use of data
  • Liaise regularly with data providers to ensure issues affecting or likely to affect data submission are identified at an early stage and addressed
