Q. Will the SBR introduce duplication of effort and increased workload?
A. At many sites interfaces have been developed between existing hospital systems and the SBR, to reduce, if not completely eradicate, duplicate data entry. The SBR also includes functionality to automatically produce discharge and other documentation to replace some of the existing manual administrative and clerical tasks.
Q. Will we be able to access statistics and standard reports from the system?
A. The data keyed in your hospital is currently available via the SBR in an excel spreadsheet from the Export Data tab or Reports tab. The following reports are available:
- GRO/Child Health Report - This report gives a list of all the babies born within the hospital (can include still births if requested) for a specified period of time.
- SIRS Report - A more detailed list of all the babies born within the hospital for a specified time period.
- Episode Activity Management - This is a report required primarily for finance.
- Patient List - reports on patients by either dates of birth, gestation, birth weight, ICD or OPCS codes
- Annual Report - shows full birth details including; gestation, birthweight, feed on discharge, discharge type, multiples, top 10 diagnosis - 4 digits, top 10 diagnosis - 3 digits, ITU days, ITU ALOS, HDU days, HDU ALOS, SCBU days, SCBU ALOS, Vent days, VENT ALOS, HFO days, HFO ALOS, CPAP days, CPAP ALOS as a number and percentage of total by selected year. (ALOS = average length of stay).
- Monthly Report - covers the previous six months and displays the following: Birth Number, Outcome, Place of Birth, Birthweight, Gestation, Feed on Discharge, Parity, Onset of Labour, General Anaesthetic, Epidural Anaesthetic, Local Anaesthetic, Spinal Anaesthetic, Blood Loss, Placenta Delivery, Perineal Condition, Type of Delivery.
- Coding Status Report - This report will show all the records that have not been submitted to ISD i.e. they have not been coded or are only partly coded.
- Coding Status Chart - This will display a chart of coded, partially coded and yet to be coded records by month for a specified year.
We encourage feedback on any discrepancies of data to ensure accuracy.
Q. How secure is the system?
A. Although the SBR resides on one database this is partitioned so that each hospital has access only to its own data, (unless requested by Healthboard). The core data set, required by ISD, will be anonymised in line with current legislation. Each authorised user will also have a password to enter the system. All data will be encrypted during transit.
Q. Is there an audit trail?
A. There is an activity log incorporated into the system at record and username level. Whenever a record is accessed, amended or deleted, the date, time and username are recorded in the audit log.
Q. Can Users have an input into the content and future development of the system?
A. There are two National SBR User Groups - one for clinical and one for coding staff. They are made up of representatives from each area and their role is to contribute to the ongoing development of the SBR system as well as feeding back and consulting with all relevant parties. In additon if you have any comments or queries about the SBR system you can either email/call the helpdesk or use the feedback facility on the SBR (you do not require email in order to use this).
